Position Summary

An exceptional opportunity for someone passionate about working to support grantmaking organizations.

This is a part time, primarily virtual position. The Administrative Assistant plays an administrative support role to members of the Paragon team. This is a fast-paced position requiring an independent and organized professional with meticulous attention to detail.

Primary Duties and Responsibilities

  • Play an administrative support role to members of the Paragon team.

  • Implement ad hoc projects as assigned by the Operations Manager and by the Managing Director.

  • Follow internal protocols and established procedures to implement due diligence and vetting including, but not limited to, Watch List Screening, Adverse Media Screening, and Politically Exposed Persons screening.  

  • Liaise with foreign grantees by email and phone to secure documentation and information. Periodically conduct work outside of standard business hours to accommodate foreign grantee time zone differences.

  • Track and update project records in a CRM and associated file system.

  • Closely review all deliverables to ensure quality/excellence.

  • Assist with additional initiatives and special projects as required.

Qualifications and Experience

Must be a professional who is self-directed, organized, detail-oriented, and able to closely follow established procedures in a fast-paced work environment:

  • Preferred: Fluent in either Spanish, French, or Portuguese, or attaining minimum professional proficiency in two or more of these languages.

  • Capable of working independently and collaboratively as part of a team.

  • Excellent oral and written communication skills.

  • Professional and responsive, with strong interpersonal skills.

  • Meticulous attention to detail.

  • Excellent organizational and time management skills.

  • Ability to prioritize and manage multiple projects simultaneously.

  • A high level of comfort with technology, and an aptitude for learning new systems and software.

  • Proficient in Microsoft Word and Microsoft Excel. Experience using a CRM or database.

  • Ability to maintain confidentiality and a high level of discretion.

Employee Classification and Hours

This is a non-exempt, primarily virtual position. Occasional in-person meetings may be required. This is a part time position at 20 hours per week.

Because of foreign grantee time zone differences, work is occasionally conducted outside of standard business hours.
